About the Job:

The primary aspect of this position is to deliver outstanding client experiences and assistance to all our clients, both internal and external. The role also involves supporting other teams like Document Services and the Buildings team. Consequently, prospective candidates should be exceptionally organized, enthusiastic, helpful individuals, possessing a variety of client-facing and business support skills.

Key Responsibilities:

1. Make a good impression by welcoming guests and coworkers into the client area.
2. Observe the visitor management procedure and fulfill all prerequisites.
3. As needed, work with the building reception crew to coordinate.
4. Throughout the day and into the evening, keep conference rooms, lobby areas, and collaborative spaces looking presentable.
5. When needed, lend a hand with moving and arranging conference room furniture and office supplies.
6. Manage client meals and drinks in conference rooms and collaborative areas.
7. Refreshment areas in conference and client rooms should be kept filled, spotless, and organized.
8. Observe coffee machine maintenance protocols, which include weekly deep cleanings and daily stock-ups.
9. Set up and take down meeting spaces, making adjustments to the furniture arrangement and setting up extra equipment.
10. Make sure the appropriate office supplies are available in meeting rooms and resource areas.
11. Install necessary technology in conference rooms, such as MS Teams or other necessary equipment.
12. Plan help from the IT team for a particular meeting or event, if necessary.
13. Using a hands-free headset, return calls after three rings.
14. Using the applicable app, manage reservations for meeting rooms and parking spaces and answer within SLA periods.
15. Deal with customers’ reservations and needs over the phone or in person.
16. Notify the appropriate team or teams about any furniture or equipment that needs to be fixed.
17. Adhere to the environmental policy in offices, making sure that recycling areas are labeled appropriately and arranged.
18. proactively keep the office well-stocked and clean, as well as the kitchens neat.
19. Determine the existence of any cleaning, general maintenance, or H&S dangers and report them right away.
20. support the execution of both internal and external events.
21. As needed, accurately, legibly, and with clarity, copy and scan the papers.
22. Transfer information across cloud-based programs, document and case management systems, and removable media.
23. Use a PPI, DMO, or franking machine to send outgoing mail, and make sure it is available for pickup at the designated times.
24. Distribute couriered goods and incoming mail across offices while keeping track of and acknowledging receipts.
25. Deliver and retrieve items by hand from nearby locations, as well as file court paperwork.
26. Obtain and transfer files to and from the offsite storage provider while regularly auditing office files.
27. Set up special deliveries and departing couriers as needed, keeping track of pertinent information for billing and auditing needs.
28. Organize with other offices the large-scale printing, scanning, and document finishing tasks, making sure that SLAs are fulfilled and requestors are kept informed of developments.
29. Set up lockers, keys, and access as needed to accommodate new hires and departing employees.
30. Make sure that all of the information that is always on display in the office is accurate and suitable.
31. As needed, oversee the building management staff and outside contractors.
32. Help with facility-related tasks, such as first aid and fire warden responsibilities.
33. Ensure that notice boards in the office are current and pertinent.
34. Give access control passes and lead tours for new hires.
35. As required and asked by the line manager, carry out ad hoc tasks.
36. Be adaptable and ready to go to different places to cover for duties in case of illness or vacation.

Your abilities and background:

1. Prior work experience in a related capacity in the professional services industry.
2. A must for scheduling flexibility to accommodate corporate demands.
3. Strong IT abilities, expertise with Microsoft Office, and knowledge of additional auxiliary systems.
4. Capacity to work well under duress, fulfill deadlines, and keep a composed and professional appearance.
5. Superb organizing abilities.
6. Strong interpersonal skills that enable the development and maintenance of connections at all levels.
7. A “continuous improvement” mentality and the flexibility to constantly aim higher.
8. A keen eye for details.
