About the Role
As an Administrative Assistant, you will play a key part in ensuring our smooth, day-to-day business operations. Specifically, your contributions will keep our team organized and efficient. You will handle everything from managing schedules and customer communication to maintaining accurate records and processing invoices. Key Responsibilities
Your core responsibilities will include:
- Providing comprehensive administrative support to senior management.
- Professionally handling incoming calls and directing inquiries appropriately.
- Organizing and maintaining digital files, records, and documentation.
- Responding to customer emails and inquiries using Outlook.
- Performing accurate data entry using Microsoft Office and Commusoft.
- Scheduling customer visits, preparing invoices, and sending estimates via Commusoft.
- Supporting billing, financial record keeping, and debtor tracking.
- Ensuring timely follow-ups on outstanding payments.
Requirements
We are seeking a candidate who brings:
- Proven experience in administrative or office support roles.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Experience using Commusoft is advantageous but not essential.
- Excellent communication and professional phone etiquette.
- Strong organizational and multitasking skills.
- High attention to detail, demonstrated by fast, accurate typing.
- The ability to work independently with minimal supervision.
