FitFlop is actively seeking a talented Supply Chain Coordinator to join our thriving Operations team on a 12-month fixed-term contract. Based in London with hybrid working options, you’ll connect daily with our colleagues across the UK, Hong Kong, Singapore, Vietnam, and the USA. Ultimately, you’ll deliver outstanding service to our global network of International Distributors.

Your Responsibilities 📦

As a key player in our Supply Chain & Operations team, you’ll manage critical international logistics and ensure smooth operations. Specifically, your role will involve:

• Acting as the primary point of contact for Distributors, freight partners, factories, and FitFlop teams worldwide.
• Overseeing the complete order fulfillment cycle, from receiving orders in FF365 (our B2B Portal) to raising and tracking purchase orders.
• Ensuring accurate and timely ordering, shipping, and delivery of products. 📑✈️
• Managing all necessary shipping documents, including Bills of Lading and Certificates of Origin.
• Flagging any delays or suggesting improvements to stakeholders, and keeping our ERP/Navision system meticulously updated.
• Issuing sales invoices and overseeing payment processes, always adhering to distributor terms.
• Minimizing additional costs wherever possible to optimize efficiency. 💷
• Maintaining clear and timely communication with Supply Chain Managers, Distributors, and Asia Operations.
• Monitoring Standard Operating Procedure (SOP) compliance and suggesting process improvements.
• Carefully checking costs and invoicing, while maintaining clear reporting. 📊
• Coordinating with factories, freight partners, and Distributors to consistently hit shipping targets.
• Supporting ad hoc procurement for items such as Point of Sale (POS) materials, Point of Purchase (POP) displays, and samples.
• Assisting with Letters of Credit, Standby LCs, Bank Guarantees, and producing commercial/pro-forma invoices.
• Supporting Credit Control in payment matching and Accounts Payable with factory invoices.
• Leading or contributing to meetings with various internal and external teams as needed.

What You’ll Bring 🚀

We’re looking for a proactive and detail-oriented professional who possesses:

• Strong administrative skills, particularly with ERP systems like Navision, NetSuite, SAP, or Infor.
• Knowledge of merchandise ordering, customs documentation, and customs clearance processes. 📜
• Comfort working with financial instruments such as Letters of Credit and Standby LCs.
• Excellent Excel skills and a sharp eye for detail. 🧮
• An analytical mindset combined with top-notch numerical skills.
• A proactive, flexible attitude, coupled with a genuine willingness to learn and grow within the role.
